Office policy

Our policies, set out plainly.

We aim to provide dependable dental care in a transparent, professional setting. These policies cover appointments, insurance, payment, and our office standards — so you always know what to expect.

Insurance estimates

We accept most dental plans and provide cost estimates to the best of our knowledge. An estimate is a guide, not a guarantee — your insurer makes the final decision on coverage.

Your insurance details

You're responsible for any changes to your coverage. If your plan terminates or changes, only you can let us know — we can't be notified by your insurer directly, so please keep us up to date.

Payment timeline

If we have not received payment from your insurance company within 60 days, the remaining balance becomes your responsibility.

Outstanding balances

Unpaid balances may be transferred to a debt collection agency. We always reach out first, so please talk to us if a balance is hard to settle.

Cancellations & late arrivals

We ask for a minimum of 2 business days’ notice to cancel or reschedule. Late cancellations and no-shows are subject to a $50 cancellation fee. Arriving more than 10–15 minutes late may mean we need to reschedule your appointment.

Confirming appointments

Please confirm your appointment at least 2 business days in advance. Unconfirmed appointments may be released so we can offer the time to another patient.

Predeterminations

Not every service is covered by insurance. Cosmetic procedures, nightguards, and other elective treatments may require full payment from you. We’ll always confirm coverage before treatment.

New patients

All new patients need an exam and up-to-date x-rays before any treatment begins, so we can build a complete picture of your oral health.

Privacy

We comply with the BC Personal Information Protection Act (PIPA). Your personal and health information is kept private and used only to provide and support your care.

Infection control

We follow current infection prevention and sterilization protocols in line with BCCOHP standards, so every visit meets professional safety requirements.

Discontinuing care

We reserve the right to discontinue care in cases of repeated missed appointments, failure to meet financial responsibilities, or inappropriate behaviour toward our staff.
